This message has two sections. The first is specific for softball players registered for 8u-14u, and the second part is for baseball players registered at all levels, T-Ball through 8th grade.
We are saddened to inform you that Clackamas County Girls Softball Association (CCGSA) has decided to cancel the 2020 softball season. CCGSA is the umbrella association that EYBSA participates in for 8u-14u softball. Our Board has met to discuss next steps and evaluate any and all options available. We have two options for players (1) Request a Refund, or (2) Hold Registration for Possible Fall Softball. We have detailed each option below with the amount refunded and deductions from each player’s refund. Note that baseball for all ages T-Ball through 8th grade has not yet been cancelled. Part two of this message (scroll down) will be sent to all baseball families reiterating the plan previously communicated.
As previously messaged, EYBSA has already made payments and incurred necessary expenses for a “normal” 2020 season that can no longer be refunded to us. These expenses include; Gear (balls, tees, catchers equipment, etc.), Uniforms, Hats, Association Fees, Insurance Premiums, Operational Fees (website, registration service fees, background check fees, etc.). These expenses in preparing for the season have impacted our ability to issue full refunds. The refund option below is equitable across all levels of EYBSA.
Option #1 - Request a Refund: Players can request a refund from EYBSA by emailing email@example.com. You must include the player’s first and last name in the email. We will process the refund via the same account that was used to pay for the registration originally. Since jersey were customized with the player’s last name on the back, each player requesting a refund will receive their jersey. They will be available for pick up within the month of May. Details of pickup to be determined.
Registration Paid (if registration was paid in full)
Refund Deductions (Same deduction for all players)
*Jerseys: $25.89 (Jerseys will be available for pickup)
*Background Fee: $4.30
*Insurance Fee: $9.78
*Registration Fee: $6.39
*Total Deduction: $46.36
Refund After Deductions (if registration was in full)
Option #2 - Hold Registration Fee for Possible Fall Softball: Players can request holding their registration fee for possible fall ball by emailing firstname.lastname@example.org. You must include the player’s first and last name in the email. Details of the possible fall ball opportunity are still being worked out, but CCGSA has heard interest from other associations in creating this opportunity. Tentative key dates are listed below. If a player selects to hold their registration fee for fall ball and then the fall ball does not start, that player will still be eligible for the same refund as listed above. EYBSA will hold the jersey until Fall Ball schedule is announced.
*July 2: Deadline for each association to opt in for participation. This will give us 3 weeks to be able to put schedules together.
*August 2: Tentative start date for the season.
*October 10: End of season tournament
*Game Days: Friday & Sunday (no games Labor Day weekend)
We realize that neither of these options are optimal. However, EYBSA has given careful consideration to create the most equitable solution for all. Refunds via the SportsEngine system can only be done one at a time, so if you select “Request a Refund”, please be patient as we work through processing these requests. Please feel free to contact our Board President, Wil Johnston (503.505.3426, or email@example.com) with any questions, comments, or concerns.

Because many of these costs must be paid in advance, player withdrawals still result in a cost to the EYBSA. As such, we have adopted the following policy for refunds to accommodate people whose plans have changed while maintaining the financial responsibilities associated with each sports season:
Refund Policy: Cancellations made prior to the close of Registration will receive a 90% refund of payment. Cancellations made after close of Registration, but before Evaluations (or formation of teams for Tball and Rookie levels of play) will receive 50% refund of payment. Cancellations made after Evaluations (or formation of teams for Tball and Rookie levels of play) will not receive a refund. Estacada youth baseball and softball does not issue gear or uniforms to players after a cancellation has been processed.
We will be offering Ranger fan gear at the start of the season. One of the items that will be offered is this bat bag. The bag is $55.00 and $5.00 to personalize it. Please contact Missie Ashabraner at email@example.com for any pre-orders. We have the option to pre-order this bat bag before the season starts.
